Refund Policy

We at Wild Roots take great care to give you a successful and memorable experience.  However, due to nature of our small class sizes and one of a kind learning experiences we do not offer refunds for class registration costs or enrollment fees.  Our Non-Refundable Enrollment fees are collected once a year, for the current school year despite the semester you enroll in.  Enrollment fees cover all administrative work which happens behind the scenes which starts with the initial enrollment paperwork, maintenance of our facilities, and basic materials for our community to share. When you enroll in a class at Wild Roots you are communicating to us that a space in the selected class/es will be filled and serves as a commitment by you to pay the class fee for the entire semester.  Our classes require a minimum of six students for the class to be held, but due to maintaining small class size and one of a kind learning experiences our threshold is very small between running a class and not. 

 

We do not offer refunds once enrollment has been processed (if space is available in alternative courses we may allow transferring to another class- additional fees may be required depending upon the alternative course).

Refunds for special events and camps are not given.  We take great pride in providing the best materials and staffing appropriately.  We plan on the number of students enrolled; therefore we are not able to provide a refund for these services.

We are sometimes able to substitute like services, if staffing and space is available, and this is on a case-by-case basis.

Any payments not received by the charter school for whatever reason is the sole responsibility of the family.  If you disenroll from a charter mid-term, any remaining balance will be the responsibility of the family, regardless of attendance at Wild Roots Learning Center.

By completing registration and submitting payment, you acknowledge that you have read, understood, and agree to this Refund Policy in full. This policy is binding upon enrollment.

Wild Roots Learning Center (“Wild Roots”) is a small, community-based learning center with limited class sizes. Because we plan staffing, materials, and scheduling based on confirmed enrollment, our ability to offer refunds is very limited. Please read this policy carefully before registering.

 

1. Enrollment Fees

Non-refundable in all circumstances. Wild Roots charges an annual Enrollment Fee per family, collected once per school year regardless of the semester in which you enroll. This fee covers administrative processing, enrollment paperwork, facility maintenance, and shared community materials.

Enrollment fees are non-refundable under any circumstances, including but not limited to: withdrawal from a class, disenrollment from a charter school, relocation, illness, or changes in family schedule.

 

2. Class Registration Fees

2a. No refunds once enrolled

Wild Roots does not offer refunds on class registration fees once enrollment has been processed and confirmed. When you register for a class, you are reserving a space in a small cohort and making a commitment for the full semester. That space cannot easily be filled last-minute, and our instructors and materials are planned accordingly.

2b. Transfers

If space is available in an alternative course, we may allow a one-time transfer to another class at our discretion. Transfers are not guaranteed and are evaluated on a case-by-case basis. Additional fees may apply if the alternative course carries a higher tuition rate. Transfer requests must be submitted in writing to info@wildrootslearningcenter.com.

2c. Missed classes

Tuition is not prorated or refunded for missed classes due to illness, personal scheduling conflicts, holidays, or any other reason. We encourage families to review the full semester schedule before enrolling.

 3. Camp Wild & Special Events

Fees paid for Camp Wild summer camps, special events, workshops, or one-time programs are non-refundable. Wild Roots commits to staffing, supplies, and planning based on confirmed registrations, and we are unable to absorb the cost of last-minute cancellations.

No refunds will be issued for camps or events under any circumstances, including illness, family emergencies, or changes in schedule.

In limited situations and at our sole discretion, we may offer a credit toward a future program if a written request is received at least 14 days before the start of the camp or event. This is not guaranteed and is evaluated individually.

4. Class Cancellation by Wild Roots

In the rare event that Wild Roots Learning Center cancels a class or program (for example, due to insufficient enrollment or an emergency closure), families will receive one of the following at our discretion:

  • A full refund of tuition paid for the cancelled class or session, OR

  • A credit of equal value toward another Wild Roots class or program

  • There are times where classes are combined due to small enrollment in one or both classes to enable running the class.  No refunds will be given in these circumstances.

Enrollment fees are not refundable even in the event of a class cancellation by Wild Roots.

Wild Roots is not responsible for any additional costs incurred by families as a result of a cancellation (e.g., childcare arrangements, transportation costs).

 5. Homeschool Charter School Payments

5a. Family responsibility for charter payments

Wild Roots Learning Center is an approved vendor for local homeschool charter schools. When a family elects to pay tuition through a charter school allocation, the family is responsible for ensuring that payment is submitted to Wild Roots by the due date indicated on the invoice or registration confirmation.

5b. Unpaid charter balances

Any payment not received from a charter school — for any reason, including administrative delays, denied allocations, or mid-year disenrollment from the charter — is the sole financial responsibility of the enrolling family. Wild Roots will invoice the family directly for any outstanding balance, which must be paid within 14 days of the invoice date.

5c. Mid-year charter disenrollment

If a family disenrolls from their charter school mid-semester, any remaining class tuition balance for the current semester becomes immediately due and payable by the family, regardless of whether the student continues to attend Wild Roots classes. Disenrollment from a charter does not constitute grounds for a refund of any fees already paid.

6. How to Submit a Request

Verbal requests will not be accepted. All decisions made by Wild Roots Learning Center under this policy are final.

 

7. Agreement & Acknowledgment

By registering for any Wild Roots Learning Center class, camp, or program, and submitting payment, the enrolling parent or guardian confirms that they have read and agree to this Refund Policy in its entirety. This policy is incorporated by reference into the enrollment agreement between the family and Wild Roots Learning Center.

Wild Roots Learning Center reserves the right to update this Refund Policy at any time. The current version will always be available at www.wildrootslearningcenter.com/refundpolicy. Families enrolled at the time of any update will be notified by email.
